Why Creating a Wedding Email Address Is a Terrible Idea (From a Wedding Vendor’s Standpoint)

Why Creating a Wedding Email Address Is a Terrible Idea (From a Wedding Vendor’s Standpoint)

I have a confession to make:

As a wedding photographer and content creator, I have received a lot of wedding inquiries over the last few years from email addresses that are obviously dedicated wedding accounts. Something like KaraAndDerrickWedding@gmail.com.

And honestly? I get it. Creating a dedicated wedding email address sounds like a fantastic idea. All of your vendor inquiries, wedding newsletters, planning checklists, freebies you sign up for, and probably a few hundred emails about table linens can funnel into one place. Your personal inbox stays clutter-free, and you can check that account whenever you are in wedding-planning mode without having to sort through everything else.

I’m sure this idea has been shared by plenty of wedding blogs, planning resources, and TikToks. And during the months leading up to your wedding, I can absolutely see why it sounds appealing. But as someone who works with couples before, during, and after their wedding day, there is one important problem with using a dedicated wedding email as your only point of contact with your vendors.

A wedding email address has an expiration date.

During the months leading up to your wedding, that email address is probably getting checked constantly. You are emailing photographers, florists, caterers, venues, DJs, and planners. You are responding to contracts, checking delivery updates, opening wedding newsletters, and reading every “10 Things You Need to Know Before Your Wedding Day” email that lands in your inbox. It is important.

But then your wedding day happens. You get married, you celebrate, you go on your honeymoon, and you come home to start settling into married life. Suddenly, that email address is no longer very important because it is still full of wedding promotions, vendor newsletters, planning reminders, and emails about things you no longer need. So you stop checking it, which makes perfect sense.

The problem is that your wedding vendors may still need to contact you long after your wedding day is over.

Your photographer still needs to deliver your photos.

As a wedding photographer and content creator, I am not just emailing you before your wedding. I am emailing you after your wedding, too. I will be sending your gallery, your wedding content, and any follow-up information about downloading, backing up, and enjoying your footage. It is also where I may send you an email asking if you have any questions or if you would be willing to leave a review.

If the only email address you gave me is your dedicated wedding account, that is the email address I am going to use. I am not going to know that you stopped checking it, that you created a new email address after your wedding, or that you have 4,386 unread emails sitting in that inbox. So if your gallery arrives there six weeks after your wedding and you are no longer checking that account, you may never see it.

And that is not because you do not care about your wedding photos. It is simply because the email address you used during wedding planning is no longer part of your everyday life.

And sometimes, those emails are actually important.

This is not just about receiving your wedding photos and content. Sometimes, vendors need to contact past couples about something that genuinely matters.

For example, as I am writing this, my old gallery company (that I used for over a decade) has recently announced that they are going out of business. That means I need to notify my past clients that their galleries are being migrated to a new URL. I need to make sure they know where their photos are going, how to access them, and what they need to do moving forward.

If I email a couple at the wedding email address they gave me four years ago? There is a very good chance that they will never see that message. Not because they are ignoring me, but because that email address is no longer part of their life (and most likely, they’ve forgotten the password). It is just sitting there, collecting wedding newsletters.

The same thing can happen with your other vendors. Your DJ may need to send you a copy of your reception playlist, your florist may have a question about a centerpiece you want to recreate for an anniversary party, or your videographer may need to let you know that your film is ready. Your planner may have a question about something from your wedding day, and your caterer may need to send you a final invoice or receipt. If the only email address they have is the one you stopped checking after your wedding, you may never see any of those messages.

So what should you do instead?

I am not going to tell you that you should not create a dedicated wedding email address. If that is what helps you stay organized during wedding planning, I think that it is a great idea! But I would strongly recommend that you do not use it as your only point of contact with your wedding vendors.

Instead, make sure your personal email address is included on your contracts. That way, your vendors have a way to contact you that you are actually going to see. You can still use your dedicated wedding email for inquiries, newsletters, and planning, and you can still keep all of your wedding-related emails in one place. But when it comes time to sign a contract, make sure your personal email address is listed.

And if you have already booked your vendors and only provided your wedding email address, it is not too late! Just send them a quick email and say something like, “Hi! I wanted to make sure you have my personal email address on file as well, since I may not be checking our wedding email as regularly after the wedding. Please use this email for any future communication, including photo delivery and follow-up questions.”

That is it! No need to delete your wedding email or change everything. Just make sure your vendors have a way to reach you after the wedding is over.

One more thing: keep your wedding email active for a little while.

Even if you do use a dedicated wedding email address, I would recommend keeping it active for at least a year after your wedding. You may still need to access something from your planning process, you may still have a vendor question, or you may still be waiting on your gallery or wedding film. You may even want to look back at some of those emails when you are celebrating your first anniversary.

But after that? If you want to stop checking it, go for it. Just make sure your vendors have your personal email address first.

After all – your wedding day may be over, but your relationship with your vendors does not necessarily end that day. And the last thing you want is to miss something important because your wedding email address has been sitting untouched for the last three years.

So create the wedding email.
Use it to stay organized and keep your personal inbox clutter-free.
Just make sure it is not the only way your vendors can reach you.

Your future self will thank you.
